bars-progressWork Management Boards

Coheso’s Work Management System (WMS) is designed to help legal teams turn incoming legal work into organised, trackable workflows in a shared workspace. WMS provides Power Users with a comprehensive view of requests and the tools to triage, track progress, and manage workload across boards.

Boards Navigation

All Work Management Boards can be accessed from the Boards section in the left sidebar. Each board typically represents a specific request type, workflow, or team process, allowing Power Users to organize and manage requests based on how work is structured across the organization.

Boards can also be managed and configured to align with your team’s workflow, including updating board-specific statuses and stages. This flexibility allows different boards to follow workflows that best match the type of requests they handle.

All Requests Board

At the top of the Boards list, the All Requests board provides a unified view of requests across all boards, allowing users to review and manage requests in one place without switching between individual boards. Columns in this board are ordered by status type lifecycle - Not Started → In Progress → On Hold → Completed → Cancelled. This makes it easier to track overall request activity and quickly locate requests across different workflows.

Switching Between Board and List Views

Coheso’s WMS supports both a Kanban-style board view and a list view for requests. To toggle between views:

  1. Locate the View Toggle: At the top of the Work Management Board, find the view toggle icon. Click the Board icon to see requests organized in columns by status or assignees, or click the List icon to see requests in a list view.

  2. Switch Views: Click the desired view icon. The board will instantly switch to that layout. In Board view, requests appear as cards. In List view, requests appear as rows with sortable columns. This flexibility lets you choose the view that’s most convenient for your workflow.

Display Settings

The Display menu allows Power Users to customize how requests are organized and displayed on the Work Management Board. To access these options, click Display in the top-right corner of the board. This opens configuration options that control how request cards are grouped and adjust how request cards appear on the board.

Grouping Columns

Power Users can group request cards on the board to organize requests based on workflow stage or assignee. From the Display menu, select the preferred option under Grouping.

Requests can be grouped by Status, where cards are organized into columns representing workflow stages such as Not Started, In Progress, Completed, Cancelled or On Hold.

Alternatively, the board can be grouped by Assignee, where request cards appear in columns based on the assigned Power User. An Unassigned column is displayed first to highlight requests that have not yet been assigned.

The grouping can be switched between Assignee and Status at any time, allowing teams to view requests either by ownership or by workflow stage.

Expanded Cards

The Display menu also allows Power Users to control the card layout on the board. When Expand cards is enabled, request cards display additional details such as the Requestor, Due Date, Board, Priority, and Assignee, providing more context directly on the board without opening the request.

When Expand cards is turned off, cards appear in a compact layout that focuses on key metadata. This allows more cards to be visible on the screen at once, making it easier to scan and navigate larger volumes of requests.

Power Users can switch between these layouts depending on whether they prefer a detailed view for context or a more condensed board view for faster navigation.

Updating Request Status or Assignee by Drag-and-Drop

In Board View, request cards can be moved between columns using drag-and-drop to quickly update request status or ownership.

Updating Status

When the board is grouped by Status, each column represents a stage in the workflow.

To update a request’s status, drag a request card to a different status column to update its status. The request is automatically updated based on the column where the card is dropped.

Updating Assignee

When the board is grouped by Assignee, columns represent the Power Users assigned to requests. An Unassigned column appears first to highlight requests awaiting ownership.

Drag a request card from Unassigned (or from another user’s column) to the appropriate user column to update the assignee. The assignment is updated automatically when the card is dropped.

Searching and Filtering Requests

The search bar at the top of the board allows users to find requests using keyword-based search, making it easy to surface relevant results from request titles, request IDs or other related terms.

Users can also narrow their view using filters. When a filter is selected, a dropdown menu appears allowing users to choose specific values. Applied filters appear next to the filter, making them easy to review, adjust, or remove with a single click. Users can hover over a filter to preview available options and click to expand it into a dropdown.

The My Tasks toggle helps users focus on requests assigned to them. When enabled, the board displays only those requests. Turning it off restores the full board view.

The navigation sidebar can be resized or collapsed to create more workspace.

To adjust the sidebar width, drag the edge of the sidebar horizontally. This allows users to expand the sidebar for easier navigation or reduce its width to create more space in the workspace.

The sidebar can also be collapsed by clicking the sidebar edge. When collapsed, the navigation panel is hidden and the main workspace expands to use the available space.
